Frequently asked questions

Why isn't Excel's Remove Duplicates enough?

Excel only removes rows whose cells are identical. "SMITH John Paul" and "J.P. Smith", or "(415) 555-0100" and "+1 415 555 0100", are different to Excel. Here emails, phones, names and companies are normalised before comparing, and duplicate rows are merged so no information is lost.

How does it avoid merging two different people?

A similar name alone is never enough: it also needs the same ZIP or postcode (or city) or the same company. Two "Mary Jones" in different cities stay apart, and an initial cannot link two different first names. Every group shows its reason and can be split before download.

Which contact exports does it recognise?

Outlook, Google Contacts, HubSpot, Mailchimp and Shopify exports have their columns mapped automatically. Any table with names, emails or phone numbers works; unmapped columns are kept in the output.

Can I re-import the file into my CRM?

Yes, the deduplicated file keeps the same columns and order as your original. Re-importing does not merge records already in the CRM (activity, history), so use the merge log to clean those up there.
