How to mail merge Excel to individual PDF files without Word add-ins (2026)
Word's built-in mail merge cannot save each record as its own file: Finish & Merge offers Edit Individual Documents, Print Documents and Send Email Messages, and Edit Individual Documents puts every letter in one new document. To get one PDF per row named after each person, you need either Adobe Acrobat's "Merge to Adobe PDF" button, a VBA macro, a third-party add-in, or a tool that reads the spreadsheet and writes the PDFs directly. The last option needs no Word at all.
What Word does and does not do
Microsoft's guide Use mail merge to personalize letters lists the output choices under Mailings > Finish & Merge: Edit Individual Documents, Print Documents and Send Email Messages on Windows, and only the first two on Mac. None of them writes separate files.
Email is not a way around it either. Microsoft's page on sending bulk email with mail merge states for Windows: "You cannot add attachments, but you can include links." It also requires a MAPI-compatible email program such as Outlook.

Method 1: browser, no Word
- Open the mail merge tool and drop the .xlsx, .xls or .csv file. Each column header becomes a field such as
{{First name}}. - Pick a preset (letter, certificate, notice or label) and click the fields to insert them into the title, body and signature.
- Use the preview arrows to check every row. Rows with empty cells and template fields missing from the spreadsheet are listed above the file table.
- Set the file name pattern, for example
{{Last name}}_{{First name}}_letter. Forbidden characters are removed and duplicates get_2,_3. - Download the ZIP: one PDF per row, an optional combined PDF for printing, and an optional CSV that pairs each email address with its file name.
Nothing is uploaded: the spreadsheet is read and the PDFs are written in the browser.
Method 2: Word plus a split
If the letter must be laid out in Word, run Finish & Merge > Edit Individual Documents, save the result as PDF, then split the PDF so that each letter becomes a file. Insert a section or page break only between records, check that every letter has the same number of pages, and use a splitter that can name files from text on each first page, such as the name line.
Formatting traps when the data comes from Excel
Microsoft's page Prepare your Excel data source for a Word mail merge lists three:
- ZIP and postal codes lose leading zeros ("00399") unless the column is formatted as text.
- The percentage format "will multiply the cell value by 100".
- Currency symbols may not carry over, so the page recommends typing the symbol next to the merge field.
For dates, Word 2010 merged values in their stored format (for example "1995-10-22 00:00:00") and Microsoft's fix is a picture switch such as {MERGEFIELD date \@ "MMMM d, yyyy"} (KB 304387). A tool that reads the Excel cell format directly avoids the switch: the date is printed as MM/DD/YYYY, DD/MM/YYYY or written out, as you choose.
